Remote Robotics Inc. (the “Company,” “we,” “us,” or “our”) handles personal information and other information relating to users of “Remolink Discovery” (the “Service”) in accordance with this Privacy Policy (the “Policy”).
Users must review this Policy before using the Service.
Article 1. Scope
- This Policy applies to information collected by the Company in connection with browsing the Service, registering an account, making reservations, remotely operating robots, exploring products, purchasing products, shipping, surveys, interviews, and other use of the Service.
- The Remolink Discovery Terms of Use, Beta Terms, and Shopping & Returns terms apply to the conditions governing use of the Service.
- If a User accesses an external website or third-party service from the Service, the privacy policy of the applicable third party will apply to that third party’s handling of information.
Article 2. Information We Collect
The Company may collect the following information in connection with the Service.
1. Account and User Information
- Name
- Email address
- Telephone number
- Information confirming that the User is 18 years of age or older
- Country, state, or other area of residence
- User ID and other account identifiers
- Password-setting information and other information necessary for account authentication
- Other information entered by the User when registering an account
As a general rule, the Company does not require Users to submit a driver’s license, passport, or other identity-verification document.
2. Reservation and Service-Usage Information
- Reservation dates and times
- Usage start and end times
- Free-use and paid-use status
- Reservation change, rescheduling, and cancellation history
- Robot operation history
- Products viewed, shopping-cart activity, and other screen-operation history
- Access dates and times, number of uses, and other usage history
- Inquiries, issue reports, and other support history
3. Order and Shipping Information
- Products purchased, quantities, prices, and order dates and times
- Shipping recipient name, address, postal code, country or region, state, and telephone number
- Shipping method, tracking number, and delivery status
- Return, exchange, reshipment, and refund history
- Information required for customs clearance or shipping
- Photographs or video of products, packaging, shipping labels, or other materials submitted by the Purchaser
4. Payment Information
- Payment amount
- Payment date and time
- Payment currency
- Payment status
- Transaction identifiers issued by the payment service provider
- Type of payment method used and limited information such as the last digits of a card number
- Information relating to refunds and chargebacks
Complete credit card numbers, security codes, and other full card information are generally collected and managed by the payment service provider designated by the Company rather than by the Company.
5. Video and Operation-Screen Information
- Video captured by cameras installed on robots
- Robot remote-operation screens
- Screen video recording use of the Service
- Recording date and time, robot identifiers, and other information associated with such video
The Company may record video or operation screens for proof-of-concept evaluation, safety management, investigation of issues, and Service improvement.
The Company does not collect or record User audio through the robot remote-operation function.
6. Survey and Interview Information
- Survey responses
- Interview and hearing responses
- Opinions, requests, and impressions regarding the Service
- Issue reports and other feedback
- Respondent attributes and information linking responses to an account
If the Company separately records audio or video during an in-person interview or similar activity, the Company will provide notice in advance and obtain any consent required.
7. Device and Technical Information
- IP address
- Browser type and version
- Device type and operating system
- Language settings
- Access dates and times
- Referrer information
- Cookies and other device identifiers
- Communications status, error information, and system logs
- Information relating to unauthorized-access detection and other security matters
8. Information Obtained from Third Parties
The Company may obtain information necessary to provide the Service from the following third parties:
- Payment results and transaction information provided by payment service providers
- Shipping status and customs information provided by logistics providers, carriers, or customs brokers
- Verification results provided by fraud-prevention or security services
- Technical information transmitted by a User’s device, browser, or external service
Article 3. Purposes of Use
The Company uses collected information for the following purposes:
- Account registration, authentication, and management
- Confirming that Users are 18 years of age or older
- Managing reservations, usage, rescheduling, and cancellations
- Providing robot remote-operation and live-video functions
- Displaying product information and providing product-exploration and shopping-cart functions
- Accepting orders, processing payments, selling products, and performing sales contracts
- Storing, packing, shipping, delivering, and clearing products through customs
- Handling returns, exchanges, reshipments, and refunds
- Responding to inquiries, issue reports, complaints, and other support requests
- Conducting the proof of concept and evaluating User experience
- Conducting surveys, interviews, and hearings
- Analyzing Service use, product selection, and purchasing behavior
- Developing and improving robot-operation functions, user interfaces, and user experience
- Researching and developing product-recognition, image-recognition, and robot-operation-support technologies
- Researching, developing, and improving artificial-intelligence and machine-learning technologies related to the Service
- Investigating defects, communications failures, and system failures
- Maintaining security and preventing and detecting fraudulent use
- Investigating and responding to violations of the Terms of Use or other applicable terms
- Complying with legal obligations, handling disputes, and protecting the rights of the Company or third parties
- Evaluating the business feasibility, operating methods, and future availability of the Service and other Company services
- Purposes incidental to the foregoing
Article 4. Use of Video and Related Information
- The Company may use video captured by robots, operation screens, operation logs, and usage history for proof-of-concept evaluation, safety management, investigation of issues, quality improvement, and technical development.
- The Company may use such information for the research, development, and improvement of product-recognition, image-recognition, robot-operation-support, and other artificial-intelligence or machine-learning technologies related to the Service.
- Recorded video and related information will generally be used internally by the Company and by contractors engaged by the Company for evaluation and development.
- The Company will not use video, images, survey responses, or other information that identifies a User for advertising, public relations, external sales materials, social media, or other public-facing purposes without the User’s consent.
- If the Company wishes to publicly disclose information that identifies a User, the Company will obtain the User’s prior consent.
- Where personal identifiers are not necessary for analysis or research, the Company will endeavor to delete, pseudonymize, anonymize, or otherwise appropriately process such information.
Article 5. Handling of Payment Information
- The Service uses Stripe or another payment service provider designated by the Company for payment processing.
- Payment service providers handle Purchaser information for payment processing, fraud prevention, legal compliance, and other purposes set forth in their respective privacy policies.
- The Company obtains payment results, payment amounts, payment dates and times, payment-method types, transaction identifiers, and other information necessary for payment administration.
- The privacy policy of the applicable payment service provider applies to that provider’s handling of information.
Article 6. Provision of Information to Contractors
- The Company may outsource the following activities to third parties and provide information necessary to achieve the purposes set forth in this Policy:
- Cloud services and system operations
- Payment processing
- Product storage, packing, and shipment
- International shipping and customs clearance
- Email delivery and User communications
- System development, maintenance, and issue response
- Security measures and fraud prevention
- Data analysis and artificial-intelligence or machine-learning development related to the Service
- Customer support and other activities necessary to operate the Service
- The Company will appropriately select contractors and require the secure handling of personal information through contracts or other means and will provide necessary and appropriate supervision.
Article 7. Provision of Information to Logistics Providers and Related Parties
- For product storage, packing, shipment, delivery, and customs clearance, the Company may provide the following information to logistics providers, carriers, and customs brokers designated by the Company:
- Purchaser name
- Shipping address
- Telephone number and email address
- Ordered products, quantities, and prices
- Shipping method and order identifiers
- Information required for customs clearance
- Other information necessary for shipping or return handling
- Logistics providers and related parties may handle such information for shipping, customs clearance, tracking, return handling, and related purposes.
- To the extent that a logistics provider or related party handles information based on its own legal obligations, that party’s privacy policy may also apply.
Article 8. Disclosure to Third Parties
The Company will not disclose personal data to third parties except in any of the following circumstances:
- The User has given consent;
- Disclosure is necessary for outsourcing as described in the preceding two Articles;
- Disclosure is required by law;
- Disclosure is necessary to protect the life, body, or property of a person and obtaining the User’s consent is difficult;
- Disclosure is particularly necessary to improve public health or promote the sound development of children and obtaining the User’s consent is difficult;
- Disclosure is necessary to cooperate with a national or local government authority or a party entrusted by such authority in performing duties prescribed by law, and obtaining consent may interfere with performance of those duties;
- Disclosure is made in connection with a merger, company split, business transfer, or other business succession; or
- Disclosure is otherwise permitted under applicable law.
Article 9. Sale of Personal Information and Sharing for Advertising
- The Company does not sell Users’ personal information to third parties in exchange for money or other consideration.
- The Company does not use third-party behavioral advertising through the Service.
- The Company does not share Users’ personal information across different businesses for behavioral-advertising purposes.
- If the Company begins any such activities in the future, it will revise this Policy and provide any notice, consent mechanism, or opt-out method required by applicable law.
Article 10. Handling of Information in Other Countries
- The Company is located in Japan and primarily manages information relating to the Service from Japan.
- Cloud service providers, payment service providers, logistics providers, carriers, and other contractors used for the Service may store or handle information in countries or regions outside Japan.
- When the Company provides personal data to an entity located outside Japan or has personal data handled outside Japan, the Company will take measures required under applicable law, including contractual measures and review of the relevant contractor.
- If a User accesses the Service from outside Japan, the User’s information may be transferred to Japan or another country or region necessary to provide the Service.
- Data-protection laws in countries or regions where information is handled may differ from those in the User’s place of residence.
Article 11. Cookies and Similar Technologies
- The Company uses cookies and similar technologies to maintain login status, ensure security, provide the Service, and investigate issues.
- The Company currently does not use third-party cookies for behavioral-advertising purposes through the Service.
- Users may disable cookies through browser settings. However, disabling necessary cookies may prevent use of login, reservation, payment, or other Service functions.
- If the Company makes a material change to its use of cookies or similar technologies, it will provide notice through this Policy or another appropriate method as necessary.
Article 12. Retention Period
- The Company retains collected information for a period reasonably necessary to achieve the purposes described in this Policy.
- In determining the retention period, the Company considers:
- The period necessary to operate and evaluate the Service and the proof of concept;
- The duration of the contractual relationship with the User;
- The period necessary for Service development, improvement, research, and business planning;
- Periods required by law for tax, accounting, transaction, or other records; and
- The period necessary to handle inquiries, disputes, fraudulent use, and security issues.
- When the purposes of use have been achieved and retention is no longer necessary, the Company will delete or anonymize the information in accordance with applicable law and the Company’s information-management procedures.
- Even after account deletion, the Company may retain necessary information for a certain period where required by law or for transaction records, dispute handling, fraud prevention, or other legitimate reasons.
- Information that has been anonymized or otherwise processed so that individuals can no longer be identified may continue to be used for analysis, research, and Service improvement.
Article 13. Security Measures
The Company takes necessary and appropriate security measures to prevent unauthorized access to, leakage, loss, destruction, alteration, or other risks involving personal information.
These measures include:
- Establishing internal rules and responsibility structures for handling personal information;
- Restricting personnel and access rights relating to personal information;
- Properly managing accounts and authentication information;
- Protecting information during transmission and storage;
- Monitoring systems, managing logs, and responding to vulnerabilities;
- Selecting, contracting with, and supervising contractors; and
- Investigating and responding to data incidents and providing legally required notices.
However, the Company cannot guarantee complete security of internet communications or data storage.
Article 14. User Rights and Requests
- Subject to applicable law, Users may make the following requests regarding their personal information held by the Company:
- Confirmation of the purposes or manner of handling;
- Access to personal information;
- Correction, addition, or deletion of inaccurate personal information;
- Suspension of use or deletion of personal information;
- Suspension of disclosure to third parties;
- Withdrawal of consent where processing is based on consent; and
- Other requests permitted under applicable law.
- If the law applicable in the User’s place of residence grants additional rights, the Company will respond in accordance with that law.
- The Company will not discriminate against a User in any manner prohibited by applicable law because the User exercised rights under this Article.
- Users wishing to make a request should contact the address specified in Article 18.
- To verify that the requester is the User, the Company may request confirmation through the registered email address or another reasonable method.
- If an authorized agent makes a request on behalf of a User, the Company may request information necessary to confirm the agent’s authority and the User’s intent.
- The Company may decline all or part of a request where retention is required by law, the request may infringe the rights of a third party, identity cannot be verified, or refusal is otherwise permitted under applicable law. Where required by law, the Company will provide the reason for the refusal.
Article 15. Children’s Information
- The Service is intended for persons 18 years of age or older, and persons under 18 are not permitted to use the Service.
- The Company does not knowingly collect personal information from persons under 18 years of age.
- If the Company becomes aware that information from a person under 18 has been registered or submitted, the Company will delete such information and suspend the applicable account to the extent reasonably possible and in accordance with applicable law.
- A parent, guardian, or other person who believes that information concerning a person under 18 has been provided to the Company should contact the address specified in Article 18.
Article 16. External Publication and Public-Relations Use
- The Company will not use a User’s identifiable name, video, image, response, or comment in press releases, websites, social media, advertisements, sales materials, or other external publications without the User’s consent.
- If the Company wishes to use information for external publication, it will explain the information to be used, the purpose, the media, and other necessary matters and obtain separate consent.
- A User may withdraw consent for future use. However, printed materials, video, or other media lawfully published before withdrawal may not be capable of immediate removal.
Article 17. Amendments to This Policy
- The Company may amend this Policy in response to changes in law, the Service, information-handling practices, service providers, or other circumstances.
- The Company will make the amended Policy available through the Service, by email, or through another appropriate method.
- If a change materially affects Users’ rights or interests, the Company will provide advance notice or obtain renewed consent as required by applicable law.
- The amended Policy will take effect on the effective date stated in the Policy.
